Address your request to Sonia Mahoney and indicate that it concerns privacy. Use the same contact details for a request concerning the redesign’s privacy impact assessment (PIA).
Information submitted and purposes
The form receives your request type, name, email and message, plus company and phone details if you provide them. It also transmits the language and a request reference. This information is used to answer and follow up on your request, not to automatically subscribe you to a marketing campaign. This form does not accept attachments. Avoid including sensitive information that is unnecessary for your request.
Hosting and email processing
WHC hosts the application and processes the submission before forwarding it. Microsoft 365 / Exchange Online processes the email for the Cadence team. The visitor’s address is used as the reply address; the Cadence sender and recipient are fixed on the server. A copy is kept in Sent Items. Authorized team members handle requests according to their responsibilities.
Provider processing and support services may involve systems outside Québec. This statement does not guarantee that all data stays in Québec or Canada. Questions about providers, information disclosures and applicable safeguards can be addressed to our privacy contact.
Security and technical data
The server validates fields, limits request size and attempt frequency, and uses anti-spam checks. Rate limiting uses the IP address in process memory and counts attempts over a 30-minute window; that window is not a promise to erase all logs. If Cloudflare Turnstile is configured, its verification supports form security independently of optional preferences. Hosting may also produce technical connection and security logs, separate from the email.
Application delivery tracking uses a reference and status without copying the message into contact application logs. Private deduplication receipts retain a fingerprint and status; they become eligible for bounded cleanup after 24 hours during subsequent requests. They are not an email copy. No security measure guarantees absolute protection.
Retention and destruction
Our rule is to retain requests while they are needed for handling and necessary follow-up, then securely destroy the information once that purpose is fulfilled, subject to a statutory retention requirement. When a request becomes a contractual record, the obligations specific to that record apply. This rule does not mean that the website automatically deletes emails or that all backup copies disappear immediately. Contact Sonia Mahoney to ask about your record or request its deletion.
Your choices and rights
You may request access to your personal information, corrections, withdrawal of consent or deletion, subject to the conditions and limits of applicable law. Withdrawal may prevent the requested follow-up and does not undo processing already completed or a legal retention obligation. We may need to verify your identity proportionately before granting access. Use the contact details above for a request or complaint; you may also contact Québec’s Commission d’accès à l’information.
Browser preferences and changes
Preferences and statistics remain off before your separate agreement to each. On the public website, Google Analytics 4 receives page-view events only after consent to statistics. Events sent by Cadence exclude form fields, URL queries and sign-in identities. Google may process technical visit data under its practices, including outside Québec. Advertising features remain disabled. Rejection does not block browsing or contact. You can change your choice in the footer; withdrawal does not delete data already received by WHC, Microsoft or Google. Significant changes in purposes will be reflected in updated information and, where required, a new choice.
